Instructions for Presenters and Exhibitors

Oral Presenters

Presenters in plenary and technical sessions should prepare their presentations using PowerPoint 2003 or 2007. Presentations will be projected from a computer running Windows. Presenters who use Macs to prepare their presentations should plan on converting them to PC format. PC computers will be available in the Speaker Ready Room at the conference venue so you can make sure that your presentation will work correctly on the conference PC.

All oral presentations will be recorded and posted on the conference website, subject to agreement by the presenter.

Pre-Conference Speakers:  Please be sure to bring your presentations on portable media, such as a CD or USB flash drive. All presentations will be projected using PC systems and should compatible with PC formats.

Conference Speaker’s Ready Room:  Speakers in all plenary and technical sessions must load their presentations into a central server through PCs located in the Speaker’s Ready Room. The room is located on the second floor of the Academy auditorium building where there will be five desktop computers for your use. Please be advised that only PowerPoint 2003 or 2007 presentations will be allowed and that only conference computers will be used to present; you will not be able to connect your personal computer to the projection system. It is recommended that speakers plan to upload and test their presentations at least 4 hours prior to their scheduled presentation time. Presentations that include videos must have the videos copied to the projection system as well.

Poster Presenters

Poster presentations will be displayed on a board measuring 240cm high and 95 cm wide. Poster displays should be no more than 120cm high and 80cm wide. The material needed to attach posters to the display board will be provided by the conference organizers.

Presenters will be able to set up their posters beginning Tuesday, 10 November at 7:00 am. Please mount your poster on the board according to assigned poster number, which will be marked on the board. All poster numbers are listed in the table of poster abstracts later in this program. Posters can be affixed to the display board with double-sided tape that the conference organizers will provide. Poster removal will begin at 3:00 pm on Thursday and must be completed by 6:00 pm on Thursday.

Exhibitors

Exhibitors will be able to set up their booths starting after 3:00 pm Sunday, 8 November. Removal should begin at 2:00 pm on Thursday, 12 November and must be completed by 6:30 pm. November.
